Privacy Policy
Last updated: October 29, 2026
This Privacy Policy explains how VelociTECH ("VelociTECH", "we", "us" or "our") collects, uses, shares and protects personal information when you visit this website, contact us, book a discovery call or use our services. It is written for visitors and clients worldwide, including in the United States, the United Kingdom, the European Economic Area, Canada and Australia.
1. Who we are
VelociTECH provides business messaging services built on the WhatsApp Business Platform, along with AI automation and n8n workflow development. For personal information collected through this website and our sales process, VelociTECH is the data controller. Contact details are in section 13.
When we build or run systems for a client (for example a CRM, chatbot or messaging campaign) and process the client's customer data on their instructions, we act as a data processor or service provider for that client. In that case the client's own privacy policy governs their customers' data, and our handling of it is governed by our contract and data processing agreement with the client.
2. Information we collect
- Information you give us: your name, business name, job title, email address, phone number, country, and anything you include in a contact form, email, chat message or discovery call.
- Client account and project information: billing contacts, invoices and payment records, project requirements, and access credentials you share with us to deliver the services (stored securely and used only for that purpose).
- Automatically collected information: IP address, browser and device type, pages visited, referring website and similar usage data, collected through cookies and similar technologies (see section 8).
- Information from third parties: if you reach us through an ad, an event or a referral, we may receive your contact details and the context of your enquiry.
We do not knowingly collect sensitive personal information, such as health or financial account data, through this website. Please do not send it to us.
3. How we use information, and our legal bases
- To respond to enquiries and provide quotes and services: to take steps at your request before entering a contract, and to perform the contract.
- To run our business, including invoicing, record-keeping, security and fraud prevention: our legitimate interests and our legal obligations.
- To improve our website and services using aggregated analytics: our legitimate interests, or your consent where the law requires it for cookies.
- To send marketing emails or messages: only with your consent, or where the law otherwise permits it (for example, existing business customers who can opt out at any time).
- To comply with the law and respond to lawful requests: our legal obligations.
We do not use personal information for automated decisions that produce legal or similarly significant effects about you.
4. How we share information
We do not sell personal information. We share it only as follows:
- Service providers who help us run our business, under contracts that require them to protect the data. These include website hosting and e-commerce (Shopify), email and productivity tools, scheduling and video-call tools, payment processors and accounting software.
- Platforms used to deliver client services, only as needed for a client project, such as Meta (for the WhatsApp Business Platform), cloud hosting providers, and AI model providers the client has chosen.
- Professional advisers, such as lawyers and accountants, under a duty of confidentiality.
- Legal and safety reasons: to comply with law, enforce our terms, or protect rights, property or safety.
- Business transfers: in connection with a merger, acquisition or sale of assets, subject to this Policy.
This website runs on Shopify. Shopify processes information about your use of the site to provide and secure its services. See the Shopify Privacy Policy for details.
5. International transfers
We are based in India, and our service providers may process data in other countries, including the United States. When we transfer personal information out of the UK or EEA, we use recognized safeguards such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum, unless the destination has an adequacy decision. For Canadian and Australian residents, we take reasonable steps to ensure that overseas recipients protect your information to a comparable standard.
6. How long we keep information
We keep enquiry and prospect information for up to 24 months after our last contact, unless you ask us to delete it sooner. We keep client contract and billing records for as long as the law requires (typically 7–8 years). Client project data is returned or deleted at the end of an engagement, as set out in the client contract. Self-hosted client systems stay in the client's own accounts.
7. Security
We use appropriate technical and organizational measures to protect personal information, including encrypted connections, access controls, least-privilege access to client systems, and audit logs where available. No system is completely secure. If a data breach affects your personal information, we will notify you and the relevant authorities where the law requires it.
8. Cookies
We and Shopify use cookies and similar technologies that are strictly necessary for the site to work. With your consent where required (including in the UK and EEA), we may also use analytics and marketing cookies. You can manage your choices through the cookie banner, your browser settings, or the Your Privacy Choices page. We honor the Global Privacy Control (GPC) signal as an opt-out of sale or sharing where the law requires it.
9. Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and get a copy of it;
- correct inaccurate information;
- delete your information;
- object to or restrict certain processing, including direct marketing;
- data portability;
- withdraw consent at any time, without affecting earlier processing;
- opt out of the "sale" or "sharing" of personal information or targeted advertising (we do not sell personal information);
- not be discriminated against for exercising your rights;
- appeal our decision on your request, where your state law provides that right.
United Kingdom and EEA: you can complain to your data protection authority. In the UK, that is the Information Commissioner's Office (ico.org.uk).
California and other US states: in the last 12 months we collected the categories of information described in section 2 (identifiers, commercial information, internet activity, and professional information) for the purposes in section 3, and disclosed them only to the recipients in section 4. We do not sell personal information or use sensitive personal information to infer characteristics. You may use an authorized agent to make a request.
Canada: you can access and correct your information and withdraw consent under PIPEDA and applicable provincial laws. You may also contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).
Australia: we handle personal information in line with the Australian Privacy Principles. If you are not satisfied with our response to a complaint, you may contact the Office of the Australian Information Commissioner (oaic.gov.au).
To exercise any right, email us at the address in section 13. We may need to verify your identity, and we will respond within the time required by applicable law.
10. Marketing communications
We only send marketing messages where we have your consent or the law otherwise allows it. Every marketing email includes an unsubscribe link, and you can reply STOP to any marketing message. We never buy or rent contact lists.
11. Children
Our website and services are intended for businesses and are not directed at children under 16. We do not knowingly collect personal information from children.
12. Changes to this Policy
We may update this Policy from time to time. We will post the updated version here with a new "Last updated" date and, if the changes are significant, let clients know directly.
